Vacation Policy - Requests

 

Requests must be made at least 4-weeks in advance of the requested start day of vacation/educational leave (6-weeks recommended).  In order to accommodate all requests for vacation/educational leave and to ensure adequate patient coverage, requests for the last 3-blocks (Blocks 11-13) must be submitted no later than March 1st. This is an absolute must and late submissions will not be accepted.

 

1) Please note that requests are approved by the chief resident and program director on a first-come-basis. Once they are approved, you will receive an email confirmation. 2) Off-Call Requests: Residents on-service should submit their off-call requests online. You may request at any time, but they may not necessarily be granted.

3) Vacation Requests: You are entitled to 4-weeks (a week is 7 days which includes 5 working days and 2 weekend days) of paid vacation per year. The number of days you enter in the total number of working days column is the number that will be deducted off your total of 28 days for the year (you are not entitled to bookend weekends). If you want both weekends off then you must submit a request for that time as vacation or off-call, however this may not necessarily be granted.

4) Educational Leave: In addition to vacation entitlement, residents shall be granted additional paid leave for educational purposes. Such educational leave, up to a maximum of seven (7) working days per annum, shall be consecutive if requested by the resident, and shall not be deducted from regular vacation entitlement. Such leave may be taken by housestaff at any time, provided only that professional and patient responsibilities are met.  If a portion of the time away extends into a weekend you must request that time off as vacation or off-call as appropriate.

5) Single block rotations on Orthopaedics: It is recommended that residents take a maximum of 1-week of vacation time during a 4-week rotation on orthopaedics.

6) Stat replacement requests: You have 90 days to use these days and this request option will be available to use after the observed Statutory Holiday. When submitting a lieu day, you must include the stat date that you originally worked. If that information is not included in your request, then the request will be denied. It is our strong preference that, whenever possible, you take your stat replacement day on the rotation where these holidays occurred.

7) Verbal requests: Verbal vacation, education/conference requests will not be granted.  There will be no exceptions to this policy.

 

 

VACATION REQUEST MODULE

 

An online module has been created to facilitate all vacation, conference and off call requests. All requests must be submitted via the online vacation request system.

Guidelines for on service and off service residents can be found below. Please complete the information on the request form as outlined below. Once the form is submitted, an email notification will automatically be sent to the orthopaedic program director, the chief resident, and the program administrator for approval.  Please also remember to CC your program administrative assistant.

 

 

 

Orthopaedic Surgery Residents - On Service Requests

 

1) Contact your supervisor for the rotation to discuss vacation or conference dates during your rotation.  Your supervisor must approve the vacation request first.  This approval must be confirmed in the request when submitting the online form.

2) Coordinate with your co-residents at the site to ensure there are no overlapping requests that would affect patient care and coverage.

3) For off call requests, you do not need to complete steps 1 and 2 above.  The chief resident will try to accommodate your request when the call schedule is completed.

4) All vacation, conference and off call requests must be submitted via the online request system. To submit your request please click here and complete the information as outlined above. Orthopaedic Surgery Residents - Off Service Requests

1) Contact the supervising department for the rotation to request vacation dates during your rotation.

2) Once your request has been approved by the off service department, submit the dates to the online vacation request system. To submit your request please

3) Once the form is submitted, an email notification will automatically be submitted

to the orthopaedic program director, chief resident, and program administrator for notification of the approved off service vacation request

 

Off Service Residents Rotating on Orthopaedics

1) All Ortho vacation, conference and off call requests should be submitted on the online request system.

2) To submit your request please click here and complete as outlined above. Once the

form is submitted an email notification will be automatically sent to the orthopaedic

program director, the chief resident, and the program administrator for final approval.

3) Emergency Medicine off-service residents on an Ortho HULC rotation should submit

their vacation requests directly to Plastic Surgery (HULC rotations are supervised by
